Entry guide

How to register for a meet

Plain steps for official NIRCA clubs and for guests. Indoor and outdoor track registration is live when the host turns it on.

Open the meet from Upcoming meets, then use Register while the registration window is open. You need a free NRCD account and to be signed in.

Hosts set the rules.

Registration only appears when the host enables it. Deadlines, per-event grades, and guest options (temporary teams or unattached) are also set by the host. See the Host Kit if you are listing the meet.

Practice sandbox.

Try Event order, Register, Entries, and Live on the shared roster sandbox (/upcoming-meets/0) before a real meet. Any signed-in user can practice (claimed club roster, temp team, or unattached). It is not on the Upcoming meets list. Hosts: full walkthrough in List your meet.

Official NIRCA clubs

Your club must be linked to an NRCD team page. Who can submit entries depends on whether the club has Team Pro.

With Team Pro

The club pays for Team Pro. The owner or an officer can enter and scratch athletes for that club. Shared seats, shared entry duty.

Without Team Pro

One meet-entry admin submits entries. That is usually the first person who claimed the club page with Personal Pro. That person can transfer the role on the team page by entering another NRCD account’s email (we confirm the account exists first; they do not need to have claimed the page). Other people cannot enter until the role is transferred (or the club gets Team Pro).

Claiming the club (needed for official entries)

  1. Sign in.
  2. Get Personal Pro so you can claim a team page, or join a club that already has Team Pro.
  3. Find your club and click Claim team profile.
  4. Without Team Pro, the first active claimer becomes the meet-entry admin. That admin (or a transferred admin) can also edit roster grades on the team page. With Team Pro, owners and officers manage entries.

Personal Pro is for you (tools plus claiming). Team Pro is for the whole club’s shared seats. Claiming a page is not the same as buying Team Pro.

Steps once you can manage the club

  1. Open the upcoming meet and click Register.
  2. Choose My NIRCA club if the meet also allows guests.
  3. Enter by event or by person. Relays need four starters (mixed relays: two men, two women).
  4. Use roster athletes from your club page, or add a provisional athlete if they are not in NRCD yet (star next to the name). Add a grade if the meet limits by class year.
  5. Save one row at a time, or fill several and use Save all. Scratch before the scratch deadline if needed.

Not on a NIRCA club (guests)

Guest options are uncommon - most hosts leave them off. Both are meet-local labels only: no public team or athlete page. If you already claimed a NIRCA club, use My NIRCA club (guest paths are blocked).

  • Temporary team: signed-in users without a claim name a club for that meet and enter under it. Only on if the host checked "Allow temporary teams." The name cannot exactly match an official NIRCA club - claim that team page instead.
  • Unattached: enter as Unattached with no club name. Only on if the host checked "Allow unattached entries."
  1. Sign in (no team claim - if you already claimed a club, guests are not available).
  2. Open Register on the meet.
  3. Pick Temporary team or Unattached (you will see an uncommon-use warning).
  4. Create a temporary team name if needed, add provisional athletes, then save entries.

Guest seeds are manual or blank only (no Automark or best-from-database picks). If both guest toggles are off and you have no club claim, you cannot register yet.

Quick checklist

  • Signed in?
  • Official club: claimed page, and you are entry admin or Team Pro owner/officer?
  • Guest: host allowed temp teams or unattached?
  • Still inside the registration deadline?

Find an invite and open Register when it is live.
